How To Avoid Total Disaster With Gmail

In case you didn’t hear, somewhere in the neighborhood of 100,000 Gmail users lost every single mail they ever had yesterday, then today was restored from tape backup. In the grand scheme of things this is a very small portion of the Gmail userbase, but if you were one of the Gmail users that lost all your mail temporarily, even a day’s worth of outage still royally sucks.

To avoid total disaster due to a server screw-up with Gmail, the solution is simple – backup your mail.

But what’s the most efficient way to go about it?

My definition of “efficient” concerning Gmail or any email backup is “backs up everything or at bare minimum every piece of mail in your account”.

When it comes to efficient email backup, a IMAP-connected mail client is still the only way to go. Specifically, Mozilla Thunderbird.

Why IMAP and not POP?

Simple answer: IMAP gets all mail that includes all folders including the Sent folder. POP only covers the inbox and nowhere else.

Is setup difficult?

In the way Thunderbird does Gmail these days, setup of an account is almost completely automatic. No need to type in server names or anything like that. All you need to know is your Gmail username and password just as if you were using the web interface; Thunderbird does the rest. In addition, the client is set up in a way that caches every mail it downloads (and yes you want that to happen).

Once Thunderbird is done downloading all your Gmail, use MozBackup to completely backup the the Thunderbird profile (which obviously includes all the mail in the profile), and ta-da, all your mail is backed up.

Should a Gmail disaster ever happen to you, you’ll have a backup ready so your mail won’t be lost.

Is backing up Gmail using a mail client the easiest way?

No, but it is the most efficient. Plus the software required is all free.

What about contacts?

Contacts are not backed up using the mail client method unless the contacts are actually within the mail client itself. However you can alternatively synchronize your Gmail address book with a service such as Plaxo.
